Organization

Our client is an international energy and water company and operating in 11 countries across four continents. In the Netherlands, we focus on the development of strategic energy infrastructure projects and on the exploration and production of oil and gas. Our client has operated oil and gas production platforms in the North Sea and natural gas storage and production facilities in the province of Noord-Holland for over 40 years.

This role exists to provide a central point of control for all documentation and records produced and act as an administrator for the Management System. The role holder verifies that updates have been implemented in asset, business and management system documentation, maintains and administers the document management systems of the whole organisation. The role holder makes sure that records are up-to-date, retrievable and are available to employees, third parties and authorities who need them. The role holder ensures compliance with all governmental and company regulations, legislation, procedures, standards and instructions.

Function

  • Maintain the electronic and paper-based databases of different departments;
  • Perform quality and compliance checks on documents;
  • Control over documentation modification, distribution, issuance (as per procedure) during its whole lifecycle;
  • Maintenance of a list (register) of applicable documents;
  • Distribution of documents to relevant people / organisations;
  • Progress reporting on the document’s status / maintaining KPIs (Key Performance Indicators);
  • Communicate and disseminate fully approved Management System documentation;
  • Focal point for access to Industry Standards through third party suppliers;
  • Expediting documentation for review and approvals;
  • Manage a swift and efficient document management process from quality check to publication;
  • Monitor and maintain the management system. System is configured on Sharepoint.

Requirements

  • MBO/HBO education;
  • 3+ year of document control experience with in the Oil & Gas Industry;
  • Fluent English and Dutch speaking and writing;
  • Excellent organization, administration and computer skills (specifically Office 365 and Sharepoint);
  • Demonstrates experience with Electronic Document Management Systems and Company Management Systems and processes;
  • Proven relationship builder with good people skills;
  • Ability to encourage and enroll the organization to achieve excellence in Records and Information management;
  • Ability to work with new systems and or improve legacy systems in a flexible and pragmatic way;
  • Great attention to detail;
  • Compliance mindset;
  • Work consistent;
  • Be pro-active in identifying improvements;
  • Writing and maintaining Document Control policies, procedures and instructions;
  • Giving Document Control instructions to partners, contractors or suppliers.
